Learn how to enter athletes into individual events and manage their heat and lane assignments. Individual event seeding is crucial for organizing competitive swimming meets.

Understanding Individual Event Seeding

What is Event Seeding?

Event seeding is the process of:

  • Entering Athletes: Adding swimmers to specific events
  • Setting Seed Times: Recording athletes' previous best times
  • Assigning Lanes: Placing athletes in specific lanes and heats
  • Managing Entry Types: Designating scoring, exhibition, or alternate status

Why Seeding Matters

Proper seeding ensures:

  • Fair Competition: Athletes compete against others of similar ability
  • Efficient Meets: Events run smoothly with proper organization
  • Accurate Results: Correct athlete placement affects scoring and records
  • Entry Compliance: Athletes don't exceed meet entry limits

Accessing Individual Event Seeding

Navigate to Event Seeding

  1. Go to your meet details page
  2. Click "Seed Events" from the meet options
  3. Select an individual event (non-relay) from the event list
  4. The individual seeding interface will open

Seeding Interface Layout

The interface includes:

  1. Event Information: Details about the current event
  2. Seeding Summary: Current entry counts and limits
  3. Athletes Table: Main table showing all available athletes
  4. Lane Assignment View: Visual representation of heats and lanes

Adding Athletes to Events

Step 1: Review Available Athletes

The athletes table shows:

  • Athlete Names: Full name and preferred name
  • Current Status: Whether already entered in this event
  • Entry Counts: Current individual, relay, and total events
  • Best Times: Previous performances in this event
  • Eligibility: Whether athlete can be added

Step 2: Filter Athletes

Use filtering options to find specific athletes:

Search and Filters

  • Name Search: Type athlete name in the search box
  • Gender Filter: Filter by event-appropriate gender
  • Grade Filter: Select specific grade levels
  • Division Filter: Choose specific team divisions

Entry Status Filters

  • All Athletes: Show everyone eligible
  • Already Entered: Show only athletes in this event
  • Available: Show only athletes not yet entered

Step 3: Enter Athletes

Auto Seed Feature

The Auto Seed button provides automated seeding for events:

How Auto Seed Works:

  1. Athlete Selection: Automatically selects athletes with seed times from your available roster
  2. Time-Based Sorting: Orders athletes by their fastest available times (seed times or personal bests)
  3. Heat Distribution: Distributes athletes across heats, filling the first heat completely before moving to the next
  4. Lane Assignment: Places fastest swimmers in center lanes using middle-out lane assignment
  5. Scoring Lane Priority: Only fills scoring lanes, leaving exhibition lanes empty

Requirements for Auto Seed:

  • Meet must have defined number of heats and scoring lanes
  • Athletes must have seed times or fastest times recorded
  • No existing seed entries for the event (auto seed will clear existing entries)

To Use Auto Seed:

  1. Click the "Auto Seed" button (lightning bolt icon)
  2. System automatically processes eligible athletes with times
  3. Athletes are distributed optimally across available heats and lanes
  4. Confirmation message shows number of athletes seeded

Auto Seed Behavior:

  • Custom Lanes: Respects custom lane configurations when assigning positions
  • Even/Odd Lanes: Works with even-only or odd-only lane selections
  • Heat Capacity: Fills heats based on scoring lane limits
  • Middle-Out Assignment: Fastest swimmers get center lanes, slower swimmers get outer lanes

Manual Entry Options

For more control over individual entries:

Quick Entry

  1. Find the athlete in the table
  2. Check the box in the "Entered" column
  3. The athlete is automatically added to the event

Advanced Entry

For complete control over entry details:

  1. Click on an athlete's name to open their details
  2. Set specific entry information:
    • Seed Time: Previous best time for this event
    • Seed Course: Course where the time was achieved (SCY, LCM, SCM)
    • Entry Type: Scoring, Exhibition, or Alternate
  3. Save the entry

Step 4: Manage Seed Times

Entering Seed Times

Time Format: Enter times as MM:SS.HH (e.g., "1:23.45")

Time Sources:

  • Previous Results: Use times from past competitions
  • Practice Times: Enter training times
  • Estimated Times: Coach's estimate based on ability
  • No Time (NT): Leave blank for no seed time

Seed Course Designation

  • SCY: Short Course Yards (25-yard pool)
  • LCM: Long Course Meters (50-meter pool)
  • SCM: Short Course Meters (25-meter pool)

Choose the course that matches where the seed time was achieved.

Automatic Time Conversion

When an athlete's seed time course differs from your meet course, Huddleswim automatically converts times using course conversion factors:

  • Cross-Course Seeding: Times are converted for fair heat placement
  • NFHS Standards: High school teams use official NFHS conversion factors
  • Custom Factors: Teams can configure team-specific conversion rates
  • Bidirectional Conversion: Support for all course combinations (SCY ↔ LCM ↔ SCM)

Example: An athlete with a 24.50 SCY time in a LCM meet gets automatically converted to 27.32 LCM using the 1.115 conversion factor.

Heat and Lane Assignments

Understanding Heat Seeding

Automatic Seeding

The system automatically arranges athletes by:

  1. Seed Time: Fastest times in fastest heats
  2. No Time: Athletes without times in earlier heats
  3. Heat Sizes: Balanced number of swimmers per heat

Heat Structure

  • Finals: Fastest heat (usually last)
  • Semifinals: Second fastest heat
  • Preliminaries: Earlier heats for slower times
  • Time Trials: Open heats for untimed swimmers

Lane Assignment Options

Automatic Lane Assignment

Based on meet configuration:

  • Center Lanes: Fastest swimmers get center lanes (4, 5, 6)
  • Outside Lanes: Slower swimmers get outer lanes (1, 2, 7, 8)
  • Even/Odd: Follows meet lane selection settings

Manual Lane Assignment

Override automatic assignments:

  1. Click on the Lane dropdown for an athlete
  2. Select a specific lane number
  3. System respects meet lane configuration (even, odd, custom)

Heat Assignment

Control heat placement:

  1. Click on the Heat dropdown for an athlete
  2. Select a specific heat number
  3. Useful for strategic placement or meet flow

Entry Type Management

Entry Type Options

Scoring:

  • Counts toward team scores
  • Eligible for awards and recognition
  • Limited by meet scoring lane restrictions

Exhibition:

  • Does not count toward team scores
  • Allows athletes to compete for experience
  • Uses designated exhibition lanes

Alternate:

  • May be moved to scoring if spots open
