Everything you need to do to get your team up and running on HuddleSwim

Setup Guide

This guide walks you through the three steps to get your team ready on HuddleSwim: creating your team, adding athletes, and setting up your first meet.

Step 1: Create Your Team

After signing up, the onboarding wizard prompts you to create your first team.

  1. Enter your Team Name (e.g., "East High School Swim Team").
  2. Select your Type of Team — currently High School is fully supported.
  3. Click Create Team & Continue.

That's it for the basics. Once you're on your team dashboard, head to Settings > Team Details to fill in the rest:

  • Abbreviated Team Name — a 6-character abbreviation used in seed exports (e.g., "EASTHS")
  • Address and Contact Info — included in exports and shared with athletes
  • Divisions — set up competition divisions under Settings > Divisions (e.g., Varsity, JV)

Step 2: Add Your Athletes

Navigate to the Athletes page from the sidebar. You have two options:

Add Athletes Manually

  1. Click Add Athlete.
  2. Fill in the required fields: First Name, Last Name, Gender, and Grade.
  3. Click Save Athlete — or Save and Add Another to keep going.

Import Athletes from a File

If you have an existing roster, you can bulk import from an Excel (.xlsx), CSV (.csv), or HY3 (.hy3) file.

  1. On the Athletes page, click the menu button (three dots).
  2. Select "Import CSV, XLSX, HY3".
  3. Upload your file and click Import.

Step 3: Create Your First Meet

Navigate to the Activities page and click New > New Meet. You have two options:

Enter Manually

  1. Select Enter Manually.
  2. Fill in the meet details: Meet Name, Course Type, Dates and Times, and Location.
  3. Optionally configure Lanes, Seeding Order, and Entry Limits.
  4. Click Create Meet.

Upload an EV3 File

If you have a HyTek EV3 file, select Upload EV3 File on the first step. HuddleSwim will pre-fill the meet details and automatically import the events.

Once your meet is created, add events from the Events tab on the meet detail page.
